This Privacy Policy outlines how we collect, use, disclose, store and manage personal information and sensitive information in connection with our restaurant, catering, wedding, event and function operations.

By providing information to us, you consent to the collection, use and disclosure of your information in accordance with this Privacy Policy.

“Personal Information” has the meaning given under the Privacy Act 1988 (Cth) and includes information or an opinion about an identified individual, or an individual who is reasonably identifiable.

“Sensitive Information” includes information relating to an individual’s health, racial or ethnic origin, political opinions, religious beliefs, sexual orientation, criminal record or other information classified as sensitive information under the Privacy Act 1988 (Cth).

We will only collect Sensitive Information where it is reasonably necessary for our business activities and where consent has been provided, or where otherwise permitted or required by law.

The information we collect depends on the services we provide, however may include:

• name
• postal address
• telephone number
• email address
• date of birth
• booking and event details
• dietary requirements and allergy information
• payment and transaction details
• other information reasonably required to provide our services

We will only collect information reasonably necessary for the operation of our business and the provision of our services.

If you do not provide requested information, we may be unable to provide some or all of our services.

HOW WE COLLECT INFORMATION

• booking forms and enquiries
• event and function documentation
• telephone, email and in-person communications
• our website and social media platforms
• authorised third parties
• other lawful means permitted under applicable legislation

STORAGE AND SECURITY

We take reasonable steps to protect personal information from misuse, interference, loss, unauthorised access, modification or disclosure.

Information may be stored electronically using secure cloud-based systems, password protected devices and secure networks, or physically within secure storage facilities.

Access to personal information is restricted to personnel who require access for legitimate business purposes.

Where personal information is no longer required, we will take reasonable steps to destroy or permanently de-identify the information unless retention is required by law.

DATA BREACHES

We maintain procedures for responding to suspected data breaches in accordance with the Privacy Act 1988 (Cth), including compliance with the Notifiable Data Breaches Scheme where applicable.

If an eligible data breach occurs, we will take reasonable steps to contain and assess the breach, notify affected individuals where required, and notify the Office of the Australian Information Commissioner where legally required.

While we take reasonable steps to protect information, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.

Nothing in this Policy excludes, restricts, or modifies any rights or remedies which cannot lawfully be excluded under applicable law.

THIRD PARTY INFORMATION

If you provide us with personal information relating to another individual, including guests or family members, you warrant that you are authorised to provide that information and have informed that individual about this Privacy Policy.

HOW WE USE PERSONAL INFORMATION

• providing restaurant, catering, wedding, and event services
• administering bookings and functions
• communicating with clients
• processing payments
• responding to enquiries
• internal administration and business operations
• marketing and promotional communications

COMPLAINTS

If you believe we have breached the Privacy Act 1988 (Cth) or the Australian Privacy Principles, you may submit a complaint in writing to our General Manager.

We will acknowledge receipt of your complaint within a reasonable time, investigate the complaint and provide a response within a reasonable period.

If you are dissatisfied with our response, you may lodge a complaint with the Office of the Australian Information Commissioner.

CHANGES TO THIS POLICY

We may amend this Privacy Policy from time to time to reflect changes in legal requirements or business practices.

Terms & Conditions

1. Tentative Bookings

A tentative booking will be held for seven (7) days only.

2. Confirmation & Deposit

A non-refundable booking fee of $1,000 is required within seven (7) days of booking to secure your chosen wedding date. This fee is charged in addition to our package prices and covers all initial wedding planning and administration costs.

Failure to pay within this timeframe may result in cancellation of your booking without notice.

Gip’s accepts cash, EFTPOS and EFT (electronic funds transfer).

Credit card payments incur the following merchant fees:

Visa/Mastercard – 0.86%
Diners/Amex – 3%
3. Cancellations

Booking fees are strictly non-refundable.
In the event of cancellation within fourteen (14) days of the wedding date, full payment will be forfeited.
4. Final Numbers

Final guest numbers must be confirmed fourteen (14) days prior to the wedding date.

Guests will be charged at the minimum required number for your selected room (e.g., James Taylor Room – 50 guests), regardless of actual attendance on the day, unless agreed otherwise in writing.

Failure to provide final numbers will result in Gip’s charging and catering for the original communicated numbers.

5. Final Payment

Final payment must be made seven (7) days prior to the wedding via cash, EFTPOS or EFT.

Credit card payments incur the following merchant fees:

Visa/Mastercard – 0.86%
Diners/Amex – 3%
Failure to make payment will result in cancellation of your wedding and Gip’s seeking costs for loss of income.

6. Extra Charges

Beverage Packages

If you have selected a beverage package, any additional beverages consumed on an on-consumption basis will be invoiced after the wedding. Full payment is required within seven (7) days of invoice.

Early Ceremony Fee

Ceremonies commencing prior to 3:00pm will incur:

An additional charge of $440, or
A reduction in reception time (e.g., 2:00pm ceremony – 9:00pm reception finish).
Room Hire Extensions

$440 per hour for weddings exceeding 10:00pm.
Extensions are not available for breakfast or lunch weddings.
All lunch weddings must conclude by 4:00pm unless otherwise arranged.
All weddings must conclude by midnight.
Damages

The client is financially responsible for any damage or loss caused to the venue, fixtures or fittings by guests or contractors before, during or after the wedding.

Public Holidays & Pricing

Public holidays attract a 20% surcharge.
Prices are inclusive of GST.
Prices are subject to annual increases in line with the Consumer Price Index (CPI) each January.
7. Personal Property

All personal property remains the responsibility of the client and guests.

While Gip’s will take reasonable care, no responsibility is accepted for loss or damage to personal belongings before, during or after the wedding.

Please note that if you wedding is in 2027, there will be a further 5% price increase in the package.
